Who I am

Sophie Winby provides one-to-one public speaking coaching and team workshops in London and online. I am the data controller for the personal information described in this policy. You can reach me at sophielwinby@gmail.com.

What information I collect

I only collect what I need in order to reply to you and deliver coaching. That usually includes:

• Contact details — your name, email address and, if you give it, your phone number and organisation.
• Enquiry details — what you tell me about the speaking situation you want help with, when you book a call or send a message.
• Session notes — brief working notes I keep during a coaching programme so sessions build on each other.
• Booking information — the date and time you choose when you schedule a call.
• Basic website data — anonymous information about how the site is used, such as pages viewed.

How I use your information

I use your information to reply to enquiries, arrange and deliver coaching sessions and workshops, send materials you have asked for, issue invoices, and keep the records I am required to keep. I do not sell your information, and I do not add you to a marketing list unless you ask me to.

Legal basis for processing

Who I share information with

I share information only with the service providers I need to run the business, such as my scheduling tool, email provider and accountant. They process information on my instructions. I will disclose information if the law requires it.

How long I keep it

Enquiries that do not lead to work are deleted within twelve months. Client records and session notes are kept for the duration of our work together and for two years afterwards. Financial records are kept for six years, as required by UK tax law.

Your rights

Under UK data protection law you have the right to ask for a copy of the information I hold about you, to have it corrected or deleted, to object to or restrict how I use it, and to withdraw consent at any time. Email me and I will respond within one month.

Security

Your information is stored on reputable, access-controlled services protected by strong passwords and two-factor authentication. Coaching conversations are treated as confidential.

Changes to this policy

If this policy changes, the updated version will appear on this page with a new “last updated” date.
